January 24, 2007
North Birmingham Regional Library
Debbie Dahlin begin the meeting at 9:15 a.m. 
 
Two announcements were made:
(1)    the opening of West End Library on February 21st
(2)   keep Mrs. Wilma Cottrell’s family in prayer during this time of
bereavement.
 
Clean Up the Catalog Project—Mary Stewart
VHS project – right now Avondale location is the guinea pig for this project. 
Check on BPL intranet for clean up OPAC. Check for your location’s contact
person and branch/dept head. Please e-mail any changes to rwade@bham.lib.al.us.
 Once you receive an e-mail from Rosemary Wade, please check your list against
the shelf. If the item is not on the shelf or not in good condition, please
delete it. Additional instructions will be indicated on the e-mail.
 
LE@D Training — unfortunately the website could not be displayed for a
demonstration. This training is contracted with the University of North Texas.
Debbie explained how the training should be done. A list of courses were
distributed and explained. The highlighted courses are required by all Library
Assistant II and above. All supervisors have been instructed to give these
employees 1-2 hours to take the courses. If your location needs headphones,
please let Debbie know by 4:00 p.m. on Monday, January 29, 2007. Otherwise your
location will be responsible for providing headphones.
The On Demand Courses can be taken by any employee as many times as needed.
Richard Manoske will send out instructions via e-mail on how to disable pop-ups.
 
Green Routing Slips Procedures – Please follow these procedures and train your
staff as needed. Not following these procedures slows down the process.
 
 
If a book is going to its home location DO NOT use a routing slip.
A simple way to know if the item is going home is the message on the INNOVATIVE
system displays when the item is checked in. If this message reads, “Item
belongs at location…” then the item is going home and NO routing slip is needed.
 
Routing slips are to be used when a book needs to be sent to a library other
than the owning library. In most cases this happens when an item is needed to
fulfill a hold. The system will display the message “ITEM HAS HOLD TO BE PICKED
UP AT…”
 
When the book is being sent to a library other than the owning library, do the
following:
USE a green routing slip
PRINT the name of the receiving library on the routing slip.
WRAP the slip around the front cover and tape the two ends together.
When tape is required to secure the routing slip, use as little as possible to
avoid damage to the book. It is recommended to use REMOVABLE TAPE instead of
SCOTCH or MASKING TAPE.
 
Too many books are returning with excess tape on the book which represents a bad
image for the library.
 
 
 
COLLECTION MANAGEMENT POLICY
 
An assignment was given at the Collection Management meeting for Branch/Dept
heads to return to their location and work on Chapter 2. There are questions
and two forms that need input from the LA III’s. Please check with your
branch/dept head about this assignment.
 
HOLDS REVISTED – Nancy Cleckler
 
If a Best Seller is returning to CENTRAL, do not put a green routing slip on it.
 
If a Best Seller has a hold to be picked up at CENTRAL, place a routing slip
around the book and PRINT CENTRAL on it. Tape it to the book and send. 
The PAGE ROOM staff will be trained on what to do when receiving these books.
DO NOT limit copies to your location. Use HOLD RETURNED SOONEST.
DO NOT place item holds especially for Best Sellers—BPL copies of Best Sellers
are non holdable until all reserves are filled. Nancy sends out a list (BEST
SELLERS FINISHED HOLDS) letting everyone know when holds are finished. When all
reserves have been filled, she then makes your copies holdable.
DO NOT place holds on DVD records with STREET DATE attached. Those records are
not an item record. Holds already placed on those records have been cancelled.
(i.e. Open Season has 2 item level holds, this is not a “true” item and
therefore the holds have been cancelled).
HOLD checked in at the home library will go to the next patron that has the hold
to be picked up at that location no matter where they are in the queue.
When placing a hold on OPAC the year is automatically put on a record. Please
remember to change the number when necessary (i.e. not filled by January 24,
2007 change to January 24, 2008).
Patrons can not limit placed holds. (Nancy goes in once and week and change Best
Sellers to bplpo)
 
Other Reminders:
 
PLEASE REMOVE ALL STAPLES BEFORE OPENING BAG—DO NOT PULL BAG OPEN!
Use no more than three (3) staples when routing media envelopes
Send media in padded envelopes only
When a publisher changes the date for publishing a book, holds placed on that
item will be changed by removing all dates to allow for all the holds to remain
on the record. (i.e. Red leaves/ Belva Plain).
Always check your outstanding holds and clean them up at least once a week
Always run “Clear Holdshelf”
